Email Appointment Reminders
Savicom's targeted email feature combined with Savicom's recurring message
feature can be used to automate email appointment reminders, resulting in improved accuracy labor reduction
when sending appointment reminders.
Configuring an email list for appointment reminders
To set up email appointment reminders, first create a field for the recipient's appointment date. Note that you
can create other fields to store recipient data which can later be included in recipient email as well:
Next create the form you will use to enter the appointment information. Customize the form
for entering appointment fields, making sure to check the box to include
data fields in the form, and click on the box to customize the requested data fields:
And select the fields to be entered, including which fields are required:
After selecting fields, click the generate button to generate the form:

The resulting HTML form can pasted into any web page on the internet, on a company intranet, or even a local
file on your computer.
Entering appointments
Once you have set up the appropriate fields and created the appointment entry form, you can enter appointment data into
your list. Note that Savicom's form includes a handy date picker to ensure that the date format is correct.
Creating reminder message - selecting recipients
Select or create a campaign for your appointment reminder email message, and select the recipients who will receive the reminder
by using Savicom's targeted email capability with the appointment date field.
The example below shows selecting recipients for an appointment reminder 7 days in advance.
Invoke the query builder:
Select the appointment date field for targeting:
Select recipients whose appointment date is seven days after the date the message is sent:
The resulting database query code will be displayed on the recipient selection page:
Creating reminder message - compose message
Enter the content of the appointment reminder email message using Savicom's
HTML email editor or the text editor. The appointment
reminder email can be personalized to include the appointment details using
Savicom's personalized email capability:
Scheduling the appointment reminder email message
When you schedule the reminder message, select the "Recurring Daily" option to invoke
Savicom's recurring email message capability. The message will run once per day, querying
for recipients who match the criteria entered -- in this example recipients whose
appointment date is seven days after the query.
Previewing the message shows how the final personalized email message will look:
Other capabilities
These same techniques and technologies can be used to:
- Create a confirmation form which sets a data field when they have confirmed. This data field can be used
to send additional reminders, or to generate reports of recipients who have not confirmed
- Send automatic messages to recipients who have not had appointments scheduled recently to remind them
to make a new appointment.
